1. Introduction & Acceptance of Terms
Welcome to Vayudoot World Travels India Pvt. Ltd.
1.1: We thank you for choosing us as your travel partner. To ensure a smooth and transparent travel experience, we request you to carefully read these Terms & Conditions along with our Privacy Policy before making any booking or using our services.
These terms apply to all bookings and travel services provided by Vayudoot World Travels India Pvt. Ltd. through our offices, authorized representatives, website, mobile application, or any official booking platform.
By confirming a booking or using our services, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.
1.2: These Terms & Conditions apply to all tours, holiday packages, travel services, and other products offered by Vayudoot World Travels India Pvt. Ltd., including Domestic, International, Group, Customized, and Corporate Tours.
1.3: Vayudoot World Travels India Pvt. Ltd. reserves the right to interpret, modify, update, or revise these Terms & Conditions whenever necessary.
1.4: In the event of circumstances beyond our control, including Force Majeure or Government regulations, the Company may amend tour arrangements or these Terms & Conditions as required.
1.5: If any provision of these Terms & Conditions is found to be invalid or unenforceable, the remaining provisions shall continue to remain valid and effective.
1.6: These Terms & Conditions, together with your booking confirmation and our official communications, constitute the complete agreement between Vayudoot World Travels India Pvt. Ltd. and the Guest.
1.7: A booking shall be considered confirmed only after the required registration amount or advance payment has been received and accepted by Vayudoot World Travels India Pvt. Ltd.
2. Definitions & References
2.1: These Terms & Conditions shall be known as the "Vayudoot World Travels India Pvt. Ltd. Or Vayudoot Travels Terms & Conditions."
2.2: For the purpose of this document, these Terms & Conditions may also be referred to as the "Booking Terms," "Travel Policy," or "Company Guidelines."
2.3: Throughout this document, Vayudoot World Travels India Pvt. Ltd. may be referred to as "Vayudoot," “VWT”, Vayudoot Travels”, Vayudoot World Travels”, "the Company," "we," "our," or "us." Similarly, the person booking or availing our services may be referred to as "Guest," "Traveller," "Customer," "Passenger," "Client," or "you."
2.4: The official website, mobile application, and all other digital platforms owned or operated by Vayudoot World Travels India Pvt. Ltd. shall collectively be referred to as the "Website."
3. Definitions
For the purpose of these Terms & Conditions, the following definitions shall apply:
3.1: Company refers to Vayudoot World Travels India Pvt. Ltd., hereinafter referred to as "Vayudoot," "the Company," "we," "our," or "us."
3.2: Website means the official website, mobile application, and other digital platforms owned or operated by Vayudoot World Travels India Pvt. Ltd.
3.3: Brochure includes any printed or digital publication such as brochures, itineraries, travel planners, price lists, promotional material, emails, or other travel information issued by the Company.
3.4: Tour refers to any Domestic, International, Inbound, Group, Customized, Corporate, Pilgrimage, or Special Interest Tour organized by the Company.
3.5: Group Tour (GIT) means a tour operated for a group of travellers following a common itinerary and schedule.
3.6: FIT (Free Independent Traveller) refers to an individually planned or customized travel package designed according to the guest's requirements.
3.7: Corporate Tour (MICE) means travel arrangements for meetings, conferences, exhibitions, incentive programs, seminars, corporate events, or team-building activities.
3.8: Customized Holiday means a tailor-made travel package prepared exclusively to suit the guest's preferences and travel requirements.
3.9: Inbound Tour means travel services provided to foreign nationals, NRIs, or overseas visitors travelling within India.
3.10: Special Interest Tour includes tours designed for specific categories such as Honeymoon, Women's, Senior Citizens, Students, Pilgrimage, Adventure, Festival, Family, Luxury, or other themed tours.
3.11: Authorized Sales Partner means any travel agent, franchise, distributor, or representative officially authorized by Vayudoot World Travels India Pvt. Ltd. to promote or sell its travel products.
3.12: Travel Advisor means an authorised representative of the Company who assists guests with bookings, documentation, and travel-related services.
3.13: Service Provider includes airlines, hotels, transport operators, cruise companies, railways, restaurants, destination management companies (DMCs), guides, sightseeing operators, and all other third-party vendors associated with the tour.
3.14: Tour Manager means the Company-appointed representative responsible for coordinating and managing the tour and assisting guests throughout the journey.
3.15: Guest means any individual who enquires about, registers for, books, or travels on any tour or service offered by Vayudoot World Travels India Pvt. Ltd.
3.16: Words denoting the singular include the plural and vice versa, and references to any gender shall include all genders unless the context otherwise requires.
3.17: Tour Price means the total amount payable by the guest for the selected tour or travel service, excluding applicable taxes, government levies, surcharges, and other charges unless specifically stated.
3.18: Child means a traveller aged below 10 years, unless otherwise specified for a particular tour or airline.
3.19: Infant means a traveller below 2 years of age.
3.20: Extra Bed means an additional mattress or rollaway bed provided in a room, subject to hotel availability and policy.
3.21: Surcharge means any additional amount payable due to seasonal demand, fuel price revisions, special events, government taxes, or supplier-imposed charges.
3.22: Peak Season means periods of exceptionally high travel demand, including school vacations, festivals, public holidays, Christmas, New Year, and other major events.
3.23: Tour Day means any part of a calendar day during which the itinerary is in operation, irrespective of the arrival or departure time.
3.24: Meal Plan refers to meals and refreshments specifically mentioned in the confirmed itinerary.
3.25: Jain Meal means pure vegetarian food prepared without onion and garlic, served according to the itinerary and subject to local availability.
3.26: Visa means the official travel authorization issued by the relevant country's immigration authority. Vayudoot World Travels India Pvt. Ltd. acts only as a facilitator and is not responsible for visa approval or rejection.
3.27: Force Majeure means any event beyond the reasonable control of the Company, including but not limited to natural disasters, pandemics, epidemics, war, terrorism, civil unrest, government restrictions, strikes, adverse weather, transportation disruptions, or any other unforeseen event affecting tour operations.
3.28: Cancellation Policy means the Company's policy specifying the applicable cancellation charges and refund conditions for cancelled bookings.
3.29: Cancellation Charges mean the amount deducted by the Company upon cancellation of a booking.
3.30: Refund means the balance amount, if any, payable to the guest after deducting applicable cancellation charges and other lawful deductions.
3.31: Future Travel Credit (FTC) means a non-cash credit issued by the Company, where applicable, that may be redeemed against future bookings within the prescribed validity period.
3.32: Tour Transfer Charges mean the charges applicable when a guest requests to transfer or reschedule a confirmed booking to another departure or tour.
3.33: Operational Expenses mean the costs incurred by the Company in planning, organizing, and conducting tours and travel services.
3.34: Jurisdiction means that any dispute or legal proceedings arising out of these Terms & Conditions shall be subject exclusively to the jurisdiction of the competent Courts located in Delhi, India.
4. Booking Policy
4.1: General Booking
v A booking with Vayudoot World Travels India Pvt. Ltd. may be made through our offices, website, or any other approved booking channel.
v By making a booking, the Guest confirms that they have read, understood, and accepted these Terms & Conditions. The booking becomes valid only after the prescribed booking amount or advance payment has been received and accepted by the Company.
v The Guest must be at least 18 years of age to make a booking. If a booking is made on behalf of family members or other travellers, the person making the booking confirms that they are duly authorized to accept these Terms & Conditions on behalf of all travellers.
v Guests are responsible for providing accurate personal and travel information. Any additional cost arising from incorrect or incomplete information, including amendments to bookings or travel documents, shall be borne by the Guest.
v The Company reserves the right to accept, reject, or cancel any booking at its sole discretion without assigning any reason. Special tours such as Women's Tours, Honeymoon Tours, Senior Citizen Tours, Pilgrimage Tours, Adventure Tours, or other themed departures may have specific eligibility requirements.
4.2: Customized Holidays
v Guests may request tailor-made holiday packages designed according to their preferences. A planning or consultation fee may be applicable for customized itineraries. This fee, if paid, may be adjusted against the final booking amount as per the Company's prevailing policy. Any revisions to the itinerary beyond the permitted limit may attract additional charges.
4.3: Corporate & Group Bookings
v Corporate, institutional, educational, incentive, conference, and special group bookings shall also be governed by the separate service agreement executed between Vayudoot World Travels India Pvt. Ltd. and the respective organization. In case of any conflict, the specific service agreement shall prevail.
4.4: Online Account Registration
v Guests may create an account on the Company's Website to access booking details, travel documents, and tour updates. Guests are solely responsible for maintaining the confidentiality of their login credentials and for all activities carried out through their account. The Company shall not be liable for any unauthorized access resulting from negligence by the Guest.
4.5: Communication
v All booking confirmations, invoices, travel updates, alerts, and other communications shall be sent to the mobile number and email address provided by the Guest at the time of booking via Email, SMS, WhatsApp, telephone, or other digital communication channels.
v Guests are responsible for ensuring that their contact details remain accurate and active throughout the booking and travel period.
4.6: Emergency Contact
v For safety purposes, every Guest must provide the name, relationship, country of residence, country code, and mobile number of an emergency contact before the commencement of the tour.
v The Company shall use only the emergency contact details provided by the Guest in case of medical emergencies, accidents, or other unforeseen situations. The Company shall not be responsible for any consequences arising due to incorrect, incomplete, or outdated emergency contact information.
4.7: Health & Fitness
v By booking a tour, the Guest confirms that they are medically and physically fit to undertake the journey. Guests with pre-existing medical conditions, senior citizens, pregnant women, and travellers visiting high-altitude destinations are advised to consult their physician before booking.
v The Company reserves the right to refuse participation or discontinue a Guest from the tour if their medical condition poses a risk to themselves or other travellers. Any medical expenses or emergency costs incurred during the tour shall be the sole responsibility of the Guest.
4.8: Health & Travel Requirements
v Guests must comply with all health and travel requirements prescribed by the destination country, state, airline, cruise operator, or local authorities, including vaccinations, health declarations, medical certificates, testing requirements, visas, permits, or other mandatory documentation.
v Any expenses arising from such requirements shall be borne solely by the Guest.
4.9: Pregnancy
v Pregnant travellers are advised to seek medical advice before confirming their travel. Vayudoot World Travels India Pvt. Ltd. does not provide specialized medical facilities or assistance for pregnancy-related care during the tour. Guests travelling during pregnancy do so at their own responsibility.
4.10: Travel with Infants
v An infant is defined as a child below 2 years of age on both the departure and return dates of travel.
v Infant fares, baggage allowance, seating, and other services shall be governed by the policies of the respective airline, hotel, cruise operator, or service provider. Parents or guardians are solely responsible for the infant's care, safety, meals, medical requirements, and travel documents throughout the journey.
v Any special arrangements requested for infants shall be subject to availability and may involve additional charges.
5. Tour Price, Registration & Payment
5.1: Payment Methods
v Guests may make payments through Bank Transfer (NEFT/RTGS/IMPS), UPI, QR Code, Net Banking, digital wallets, cheque, demand draft, or any other payment mode approved by Vayudoot World Travels India Pvt. Ltd. All payments must be made only in favour of Vayudoot World Travels India Pvt. Ltd. Cash payments, wherever accepted, shall be subject to Government of India regulations.
5.2: Payment Charges
v Any bank charges, payment gateway fees, card processing fees, or transaction charges levied by financial institutions shall be borne by the Guest unless otherwise specified by the Company.
5.3: Tour Pricing
v Tour prices are dynamic and may vary depending on the booking date, availability, airline fares, hotel tariffs, exchange rates, seasonal demand, and other operational factors. Guests travelling on the same tour may have booked at different prices. No claim or refund shall be entertained on account of such price differences.
5.4: Price Revision
v The Company reserves the right to revise the published tour price at any time due to changes in airfare, fuel surcharge, hotel tariffs, visa fees, taxes, foreign exchange fluctuations, government levies, or any other unforeseen increase in operating costs. Any such additional amount shall be payable by the Guest before departure.
5.5: Taxes
v Tour prices are exclusive of applicable Government taxes unless specifically mentioned otherwise. GST, TCS (where applicable), visa fees, entrance fees, and other statutory charges shall be payable as per the prevailing Government regulations. Once deposited with the Government, such taxes shall not be refundable.
5.6: Online Bookings
v For online bookings, the Guest is responsible for ensuring that all information submitted is complete and accurate. The Company reserves the right to cancel any booking if incorrect, misleading, or fraudulent information is provided.
5.7: Registration & Confirmation
v A booking shall be considered confirmed only after receipt of the prescribed registration amount or advance payment and written confirmation from Vayudoot World Travels India Pvt. Ltd. The registration amount is non-refundable unless otherwise provided under the Company's Cancellation & Refund Policy.
5.8: Payment Schedule
v Unless otherwise specified, the balance tour amount must be paid within the timeline communicated by the Company and, in any case, before the departure date. Failure to make timely payment may result in cancellation of the booking and applicable cancellation charges.
5.9: Non-Payment
v If the Guest fails to make payments within the prescribed time, the Company reserves the right to cancel the booking without further notice and recover applicable cancellation charges from the amount already paid.
5.10: Customized Holidays
v For customized holidays, booking confirmation shall be subject to payment of the applicable advance amount, airfare (where applicable), and other supplier payments as advised by the Company. Delayed payments may lead to cancellation or revision of the itinerary and pricing.
5.11: Dishonoured Payments
v Any cheque, bank transfer, or payment that is dishonoured, reversed, or declined may attract administrative charges, bank charges, and applicable taxes. The booking may remain suspended until the outstanding amount is cleared.
5.12: Payment Security
v Guests should never share confidential banking information such as OTPs, card details, CVV, passwords, or internet banking credentials with anyone claiming to represent Vayudoot World Travels India Pvt. Ltd. The Company shall not be liable for any financial loss arising from unauthorized sharing of such information.
5.13: Use of Payments
v All amounts received by Vayudoot World Travels India Pvt. Ltd. may be utilized towards advance payments to airlines, hotels, transport providers, destination management companies, government authorities, and other service providers, as well as for operational and administrative expenses necessary for organizing the tour.
6. Group Tour Inclusions & Exclusions
6.1: Tour Inclusions
Unless otherwise stated in the confirmed itinerary, the tour price generally includes:

6.2: Tour Exclusions
Unless specifically mentioned as included, the following are excluded from the tour price:
The confirmed itinerary and booking confirmation shall prevail in determining the inclusions and exclusions of each tour.
6.3: Upgrades & Optional Services
v Any upgrade or optional service requested by the Guest, including airline seat selection, Premium Economy, Business Class, hotel room upgrades, private transfers, luxury vehicles, additional nights, or similar services, shall be subject to availability and will be charged separately in addition to the tour price.
v To make your travel booking convenient and hassle-free, we offer multiple secure payment options. Guests may choose any of the following payment methods while confirming their tour booking.
7. Payment
7.1. Online Bank Transfer (NEFT / RTGS / IMPS)
Guests may transfer the tour amount directly to our designated bank account through NEFT, RTGS, or IMPS. Booking will be confirmed upon receipt of the payment.
7.2. UPI Payment
Instant payments can be made through UPI using the Company's official UPI ID or QR Code. A payment confirmation receipt should be shared with our office for quick verification.
7.3. Debit / Credit Card
Payments can be made using eligible Debit Cards, Credit Cards, or other digital payment gateways. Applicable bank or payment gateway charges, if any, shall be borne by the guest.
7.4. Cash Payment
Cash payments are accepted in accordance with the prevailing Government of India regulations and applicable statutory limits. An official receipt will be issued for every payment received.
7.5. Cheque
Payments may also be made by Account Payee Cheque in favour of the Company. Tour confirmation shall be subject to the realization of the cheque or demand draft.
7.6. International Payments
Guests residing outside India may remit the payment through approved international banking channels or other authorized payment methods, subject to applicable banking regulations.
8. Tour Price Discount Policy
8.1 Discount Offers
v All discounts, savings, promotional offers, or special benefits on tour prices are offered solely at the discretion of Vayudoot World Travels India Pvt. Ltd. The Company reserves the exclusive right to determine the eligibility, validity period, discount amount or percentage, number of seats, travel dates, guest category, age criteria, early bird offers, full payment offers, partial payment offers, group booking discounts, last-minute offers, or any other promotional scheme.
v All promotional offers are valid only for a limited period, selected tours, and subject to availability. The Company reserves the right to modify, withdraw, suspend, or discontinue any offer at any time without prior notice or assigning any reason.
8.2 Eligibility for Discounts
v Guests must comply with all conditions applicable to a promotional offer, including but not limited to timely payment, submission of required documents, completion of guest details, maintaining the prescribed group size, or fulfilling any other specified eligibility criteria.
v If a guest fails to satisfy the applicable conditions, the discount or promotional benefit shall automatically lapse, and the booking will be recalculated at the prevailing applicable tour price. The guest shall be liable to pay the revised amount before the commencement of the tour.
8.3 Complimentary Services & Gifts
v Any complimentary service, gift, souvenir, meal, refreshment, upgrade, or other promotional item offered by the Company is provided entirely at its sole discretion.
v The Company reserves the right to modify, substitute, discontinue, or withdraw any complimentary item or service without prior notice. Complimentary products supplied by third-party vendors or manufacturers are subject to their own quality standards and warranties. The Company acts only as a facilitator and shall not be responsible for any manufacturing defects, quality issues, delays, or consequential losses arising from such products or services.
8.4 Early Booking & Promotional Benefits
v To encourage early reservations, the Company may introduce promotional offers such as complimentary sightseeing, attraction tickets, room upgrades, special experiences, gifts, or other value-added benefits on selected tours.
v Such benefits are available only for eligible guests who satisfy the applicable promotional conditions within the specified booking period. Guests who are not eligible for these promotional benefits may be able to purchase the same separately, subject to availability and applicable charges.
v The Company reserves the right to modify, substitute, or discontinue any promotional benefit if operational requirements, minimum group size, supplier limitations, or other circumstances make it impractical to provide the same.
8.5 General Conditions
v All discounts, promotional offers, savings, and benefits are funded through the Company's marketing and promotional initiatives and are purely discretionary. Such benefits are non-transferable, non-refundable, non-negotiable, and cannot be exchanged for cash, credit, or any other monetary value.
v Guests shall not compare, dispute, or claim entitlement to promotional offers provided to other guests, tours, or booking categories, as eligibility may vary depending on the applicable promotional scheme and booking conditions.
9. Foreign Currency Component (Forex) in Tour Price
9.1: For international tours, the tour price may include both the Indian Rupee (INR) component and the Foreign Currency (Forex) component. The Forex amount shall be payable at the prevailing exchange rate and in accordance with RBI/FEMA regulations.
9.2: The Forex component may be paid:
9.3: Foreign exchange payments are subject to prevailing exchange rates and applicable RBI/FEMA regulations. Any increase in the exchange rate before payment shall be borne by the guest.
10. Documentation
10.1: Documents Required for Booking
v Guests are required to submit valid documents at the time of booking and before the commencement of the tour. For domestic travel, a valid government-issued photo identity proof is mandatory, while international tours require a valid passport along with all applicable visas. Submission of PAN is compulsory for both domestic and international bookings in accordance with prevailing RBI and Government of India regulations.
v Guests are solely responsible for obtaining and carrying all necessary travel documents, including passports, visas, confirmed air tickets, travel insurance, medical certificates, permits, or any other documents required by the destination country or relevant authorities.
v Failure to submit the required documents within the prescribed timelines or failure to meet the applicable travel requirements may result in cancellation of the booking. In such cases, cancellation charges shall apply as per the Company's Cancellation Policy.
10.2: Photo Identification
v For all domestic tours, guests must carry a valid original government-issued photo identity proof such as an Aadhaar Card, Passport, Driving Licence, Voter ID Card, PAN Card, or Student Identity Card (where applicable). These documents may be required for verification at airports, railway stations, hotels, sightseeing attractions, national parks, border areas, or by any government authority during the tour. Guests must produce the original identification whenever requested.
10.3: Passport
v Every guest travelling on an international tour, including children and infants, must possess a machine-readable passport with a minimum validity of 180 days from the scheduled date of return, unless a longer validity is required by the destination country.
v Guests are advised to verify all passport details, including name, date of birth, passport number, validity, expiry date, and availability of sufficient blank pages for visa stamping. For Europe tours, passports should generally have a maximum validity period of 10 years. Handwritten passports, damaged passports, or passports with torn, altered, stapled, or defaced pages may not be accepted by immigration authorities.
v Any loss of travel arising from passport-related issues shall be the sole responsibility of the guest, and applicable cancellation charges shall be payable.
v Wherever applicable, Vayudoot World Travels India Pvt. Ltd. may collect and submit passports to embassies, consulates, visa centres, or other authorized agencies only as a facilitator. The Company shall not be responsible for any delay, loss, damage, or mishandling of passports while they are in the custody of such third parties.
10.4 Visa (International Tours)
v A valid visa is mandatory for travel to countries where visa requirements apply. While Vayudoot World Travels India Pvt. Ltd. may assist guests in preparing and submitting visa applications, the Company acts solely as a facilitator. The approval, rejection, validity, and processing time of any visa are entirely at the discretion of the respective embassy, consulate, or immigration authority.
v Guests may be required to attend personal interviews or provide additional documents if requested by the concerned embassy or consulate. It is the guest's responsibility to provide complete and accurate information in the visa application.
v Upon receiving the passport after visa processing, guests must immediately verify all visa details, including name, passport number, validity, entry type, travel dates, and duration of stay. Any discrepancy should be reported promptly to Vayudoot World Travels India Pvt. Ltd. Although every effort will be made to assist in correcting such errors, the Company cannot guarantee timely rectification and shall not be liable for any consequences arising therefrom.
v For Schengen or other visa categories requiring proof of financial capacity, guests may be required to complete full payment of the tour or maintain sufficient bank balance as per the applicable embassy guidelines.
v If a valid visa is stamped on an old passport, guests must carry both the old and new passports during travel or complete the visa transfer process where required by the destination country. Any costs associated with visa transfer shall be borne by the guest.
v Guests who already possess a valid visa or intend to obtain their visa independently must inform Vayudoot World Travels India Pvt. Ltd. at the time of booking. Where applicable, visa charges included in the tour cost may be adjusted accordingly.
v All visa-related documents must be submitted within the timelines communicated by the Company. Visa processing times vary depending on the embassy or consulate, and delays may occur due to administrative procedures, high application volumes, or other circumstances beyond the Company's control. If a visa is delayed or not granted in time for travel, resulting in cancellation of the tour, cancellation charges shall apply in accordance with the Company's Cancellation Policy.
v Guests employed in defence services, government security establishments, nuclear or research organizations, or similar institutions may be subject to additional visa formalities and extended processing times. Such guests are advised to complete documentation well in advance. Vayudoot World Travels India Pvt. Ltd. shall not be responsible for delays or refusal of visas in such cases.
v Any dispute between a guest and a foreign embassy or consulate shall be resolved directly by the guest. The Company shall not participate in or represent the guest in any legal proceedings related to visa matters.
v Any increase in visa fees, VFS charges, government levies, or service charges after the booking date shall be payable by the guest. Similarly, if an additional visa becomes mandatory due to itinerary changes or government regulations, the associated costs shall also be borne by the guest.
10.5 Travel Insurance
v Travel insurance is strongly recommended for all guests and is mandatory wherever required by law, the destination country, or the tour package. For selected international group tours, overseas travel insurance may be included in the tour cost for guests up to the specified age limit. Guests exceeding the eligible age or requiring enhanced coverage shall bear the additional insurance premium.
v Travel insurance generally provides limited coverage for events such as medical emergencies, hospitalization, baggage loss, flight delays or cancellations, evacuation, repatriation, and accidental death, subject to the terms of the insurance policy. Certain adventure or high-risk activities may not be covered.
v Guests are responsible for reviewing their insurance policy, verifying all personal details, understanding the policy coverage, and carrying a copy of the insurance certificate during the tour. Pre-existing medical conditions are generally excluded unless specifically covered under the policy.
v Guests extending their stay before or after the tour must arrange an extension of their insurance coverage wherever required. Foreign nationals and Non-Resident Indians (NRIs) joining tours may be required to obtain travel insurance independently unless otherwise specified.
v In the event of any incident giving rise to an insurance claim, the guest must promptly notify both the insurance company and Vayudoot World Travels India Pvt. Ltd. and comply with the insurer's claim procedures. The Company acts only as a facilitator and shall not be responsible for claim approval, rejection, settlement amount, or delays, which remain solely at the discretion of the insurance provider.
10.6 Foreign Nationals and Non-Resident Indians (NRIs)
v Foreign nationals and NRIs joining any tour organized by Vayudoot World Travels India Pvt. Ltd. must possess valid passports, visas, travel insurance, and any other documents required by the destination countries. Guests must disclose their nationality or NRI status at the time of booking, as applicable tax regulations and documentation requirements may differ.
v Guests are responsible for complying with all immigration laws, visa regulations, and government requirements of the countries included in their itinerary. Certain destinations may impose additional entry restrictions, permits, or charges for foreign nationals, which shall be borne by the guest.
v The Company shall not be responsible for denial of entry, additional expenses, or tour interruption arising due to incomplete documentation or non-compliance with applicable regulations.
10.7 Minors
v The safety and well-being of minors remain the responsibility of their parents or accompanying guardians throughout the tour.
v Guests below 18 years of age must travel with a parent, legal guardian, or an authorized adult. Where required by the destination country, written parental consent, notarized declarations, or other prescribed documents must be carried. Parents or guardians are responsible for ensuring that all documents required for travel and visa processing are complete and valid.
v Failure to produce the necessary documentation may result in denial of boarding, visa refusal, or cancellation of the tour, for which the Company shall not be held liable.
10.8 Immigration
v Possession of a valid passport and visa does not guarantee entry into any country. Admission is entirely subject to the discretion of the immigration authorities of the respective country.
v If a guest is denied entry, detained, questioned, deported, or delayed by immigration authorities, any resulting expenses, tour interruption, missed services, or return travel arrangements shall be the sole responsibility of the guest. No refund, compensation, or liability shall arise against Vayudoot World Travels India Pvt. Ltd. in such circumstances.
10.9 Medical Emergency, Hospitalization or Death During the Tour
v In the event of a medical emergency, hospitalization, accident, serious illness, or death of a guest during the tour, Vayudoot World Travels India Pvt. Ltd. will provide reasonable assistance by coordinating with hospitals, insurance companies, local authorities, embassies or consulates, and the guest's nominated emergency contacts, wherever feasible.
v The Tour Manager shall provide immediate on-tour assistance and initiate the Company's internal emergency procedures. To ensure the smooth continuation of the group tour, the Tour Manager may continue with the scheduled itinerary after appropriate arrangements have been made for the affected guest. Further coordination shall be handled by the Company's designated support team in consultation with the relevant authorities and service providers.
v All medical expenses, hospitalization charges, evacuation costs, repatriation expenses, or any other related costs not covered by insurance shall be borne by the guest or the guest's legal representatives.
10.10 Emergency Contact Information
v Guests must provide accurate and up-to-date emergency contact details at the time of booking and promptly inform the Company of any changes before departure.
v Vayudoot World Travels India Pvt. Ltd. shall not be responsible for any delay in contacting the guest's family members or emergency contacts due to incorrect, incomplete, or outdated information provided by the guest. The Company shall not be liable for any loss, inconvenience, or consequences arising from such inaccurate information.
